Main Purpose and Function

The Contracted Services Coordinator (CSC) is responsible for coordinating the day-to-day contracted services for Engineering Services and supporting the Integrated Vendor Management Program (IVMP) and Quality Management Systems (QMS). The position responds to service requests and service delivery issues; monitors and measures central dispatch processes and vendor service performance to maintain established metrics; and liaises with Technology Services teams to support business technology tools.

 

Specific Duties/Responsibilities

  • Performs a range of moderate to complex clerical and dispatch duties that are focused on supporting Engineering branches with service requests; approves service plans, and coordinates, schedules and reserves City and all vendor goods and service resources
  • Collects, tracks and exports service request records and data when requested for legal compliance, incident claims and analyzing service performance
  • Coordinates tasks to ensure business continuity plans are met and tracks support services in conjunction with overall City Emergency Response Planning 
  • Liaises between crews, vendors and other City departments to assist with service requests and resolving issues
  • Monitors, identifies and documents service deficiencies to support corrective actions that resolve non-compliance with contract terms of service and service level agreements
  • Maintains all files and records and creates regular reports and supports metrics reporting 
  • Responds to general enquires from the public 
  • Reconciles vendor payments and receivables
  • Follows the framework for Quality Management Systems to ensure issues are resolved and vendor performance is improved
  • May attend meetings and participate in forums with vendors in the absence of the Contracted Services Lead
  • Other duties/responsibilities as assigned

 

Minimum Qualification Requirements

Education and Experience:

  • Completion of grade 12 preferably including or supplemented by courses in commercial subjects and bookkeeping.
  • Considerable related experience as an Office Support Clerk III, or an equivalent combination of training and experience.
  • Experience in providing dispatching and logistic services.

 

Knowledge, Skills and Abilities:

  • Working knowledge of elementary principles and practices of record keeping and office reporting.
  • Working knowledge of practices and standards of civil works or manufacturing operations and maintenance
  • Working knowledge of dispatching services
  • Excellent communication (oral and written), interpersonal and presentation skills
  • Excellent research, problem solving and analytical skills
  • Good organizational, critical thinking and time management skills including the ability to deal effectively with multiple tasks of moderate complexity and setting/meeting competing deadlines
  • Ability to maintain complex records and to prepare periodic statistical and narrative reports from such records.
  • Ability to interpret and communicate information clearly to audiences of varying technical expertise
  • Ability to develop and maintain positive, productive relationships at all levels in the organization and with external stakeholders
  • Ability to work independently while exercising sound judgment.
  • Proficient in the use of software applications, enterprise systems and databases such as MS Office, SAP, and Share Point
