Main Purpose and Function
Reporting to the Manager, Election Communications and Outreach, the Communications and Outreach Coordinator is responsible for supporting the City’s election-related public engagement and correspondence functions. This position plays a key role in developing and maintaining clear, accurate, and non-partisan communication with the public, and in coordinating outreach activities that promote voter awareness and participation, particularly among equity-denied communities.
The position assists in responding to public enquiries about the election, develops and maintains correspondence templates for consistency across the Election Office, coordinates logistics for outreach events, and works with internal staff and external partners to distribute materials and promote voter engagement.
The Communications and Outreach Coordinator works closely with the Senior Communications Specialist, supervises the Outreach Workers, and collaborates with the Office Support Clerks at the front desk, the Office Supervisor, and the Deputy Chief Election Officers.
Specific Duties and Responsibilities
- Drafts, edits, and maintains response templates and standard messaging to ensure public-facing communications align with City policies, standards, and non-partisan principles.
- Responds to routine election-related correspondence and assists with the coordination of more complex public enquiries.
- Supports the tracking and analysis of correspondence trends and community concerns.
- Schedules social media content, moderates' audience engagement, and supports with responding to comments.
- Coordinates outreach event logistics, including booking venues, scheduling staffing, and preparing event supplies and courier shipments.
- Liaises with community organizations, civic partners, and internal stakeholders to schedule outreach opportunities and support distribution of voter education materials.
- Attends outreach events, including evenings and weekends as needed, and provides non-partisan election information to residents.
- Records and summarizes outreach metrics and public feedback to inform future engagement efforts.
- Other duties/responsibilities as assigned.
Qualification
Education and Experience:
- Post-secondary education in communications, public relations, political science, or a related discipline plus some related experience, or an equivalent combination of training and experience
- Experience supporting public communications and/or community outreach, preferably in a government or electoral context
- Experience drafting public-facing content, managing inboxes, or coordinating correspondence
- Experience planning or supporting public events or outreach campaigns considered an asset
Knowledge, Skills and Abilities:
- Considerable knowledge of the methods, practices and techniques of journalistic and plain-language writing.
- Working knowledge of the municipality’s communications objectives practices, and protocols.
- Working knowledge of inclusive and equity-informed communication and outreach practices
- Strong written communication skills Strong public speaking and presentation skills, with the ability to confidently engage diverse audiences at outreach events and community forums
- Sound organizational and time management skills, with the ability to manage multiple tasks and meet deadlines
- Strong interpersonal skills and the ability to work effectively with staff, community partners, and the public
- Ability to act professionally with integrity and maintain confidentiality
- Proficiency in Microsoft Office; experience with CRM, correspondence tracking, or CMS tools considered an asset
- Ability to work flexible hours, including evenings and weekends, as required
- Ability to communicate in languages other than English considered an asset
- Ability to meet transportation needs
