Main Purpose & Function 
Kent Materials Branch is responsible for the production and supply of asphalt, aggregate, ready mix concrete and products together with the services of material handling, inspection, testing and materials research.  Reporting to the branch manager, this position is responsible for a variety of clerical duties and will work for branch staff in support of the entire operation.

 

The main purpose of this position is to provide clerical support to the branch and to support and review the work of weighmasters. This administrative role has a major focus on operational support for the asphalt plant, aggregate facility, concrete plant, and rubble operation including ensuring complete and accurate billing and cost recovery, inventory adjustments and good receipts. This position oversees inventory management and high frequency transactions an active operations facility, and is responsible for time entry, invoicing and other clerical duties as required.

 

Specific Duties and Responsibilities 

  • Perform activities and produce reports in SAP and Hansen modules related to material production, inventory, billing, procurement and time entry and payroll

  • Support, schedule, and review the work of weighmasters and perform back-up coverage as required

  • Filing documents using VanDocs

  • Provide front line reception and performs other duties as required in order to support branch staff

 

 

Qualifications

Education and Experience:

  • Completion of Grade 12 supplemented by business and office administration courses plus considerable related experience, preferably in an operations environment or an equivalent combination of education and experience
  • Intermediate to advanced experience in SAP functions is required with a strong preference for purchasing, payroll, and payment
  • Familiarity with Hansen and the materials management side of SAP are an asset
  • Considerable knowledge of Microsoft Word and Excel along with the desire and ability to enhance those skills in the future
  • Experience with training and scheduling is an asset

 

 Knowledge, Skills and Abilities:

  • Ability to prioritize and meet goals in a timely manner; to work independently and to work as part of a team
  • Ability to accurately multi-task in a fast paced environment
  • Effective customer service skills
  • Proven ability to communicate and build relationships effectively and tactfully with the public and all levels of City staff
  • Ability to train staff including training in using SAP for branch related functions
  • Good attendance is of operational importance
  • Ability to plan, assign, supervise, and review the work of a small group
  • First aid certification is an asset

 

Driver’s License and Record Checks:

  • A current and valid class BC Driver’s License and a satisfactory Commercial driving record
  • The license must not include any restrictions that would affect the ability to legally and safely carry out job responsibilities
  • Transportation arrangements must meet operational requirements of the Department
