Main Purpose and Function

We are hiring for multiple positions to support the upcoming City of Vancouver elections process.

 

The Office Support Clerk III provides administrative and operational support across all areas of the Election Office, including recruitment, front office, special voting opportunities, training and vote by mail. Responsibilities may include managing correspondence, performing data entry, and assisting staff, candidates, and the public in person, by phone, or email. The role requires independence, strong organizational skills, and the ability to address day-to-day operational challenges across multiple portfolios.

 

The successful candidates may be operationally required to work overtime hours on voting days, including weekends and evenings.

 

Specific Duties and Responsibilities

Five different types of positions are available. We are hiring for multiple candidates for each position type.

 

1) Recruitment Staffing Assistants

  • Staffing Assistants support the recruitment of approximately 2,200 election workers. Responsibilities include screening applications, data entry, hiring, scheduling, and payroll administration.
  • This position works May through October
  • Schedule is typically 7-hour shifts between 8:30am and 5:00pm, Monday to Friday (5 shifts/week). Interested candidates must be available for all shifts.

 

2) Front Desk Office Assistants

  • Office Assistants provide front desk customer service for the Election Office, assisting the public in person, by email, and over the phone. They also support accounting, time entry, and general administrative tasks.
  • This position works June through November
  • Schedule is typically 7-hour shifts between 8:30am and 5:00pm, Monday to Friday (3-5 shifts/week). Interested candidates must be available for all shifts.

 

3) Special Voting Assistants

  • Special Voting Assistants coordinate with administrators at care homes, assisted living facilities, shelters, hospitals, and other designated locations serving underserved populations to establish mobile voting sites. They support the hiring, scheduling, and onboarding of mobile voting teams, and assist with scheduling visits for the Vote at Home program.
  • This position works June through October.
  • Schedule is typically 7-hour shifts between 8:00am and 6:00pm, Monday to Friday (4-5 shifts/week). Interested candidates must be available for all shifts.

 

4) Vote by Mail Assistants

  • Vote by Mail Assistants support the coordination of the application process, distribution, receipt, and processing of over 10,000 mail ballots. They ensure all legislative requirements and procedures are followed, including verifying voter eligibility and ensuring each elector votes only once.
  • This position works August through October.
  • Schedule is typically 7-hour shifts between 8:00am and 5:00pm, Monday to Friday (5 shifts/week). Interested candidates must be available for all shifts.

 

5) Training Assistants

  • Training Assistants support the administration and delivery of training for approximately 2,200 election workers. Duties include setting up and taking down training rooms, checking in participants, directing them to sessions, and assisting during training. Sessions are held on weekday afternoons/evenings and weekends.
  • This position works September through October.
  • Schedule is typically 4–8 hour shifts between 1:30pm and 10:00pm, Monday to Friday, and between 8:00am and 6:00pm on weekends (3–5 shifts per week). Interested candidates must be available for all shifts.

 

Qualifications

Education and Experience:

  • Grade 12 is required, preferably supplemented by courses in business or public administration
  • Experience in providing in-person, by email and over the phone customer service and in an office environment

 

Knowledge, Skills and Abilities:

  • Considerable knowledge of modern office practices and procedures
  • Sound knowledge of departmental and other policies, regulations, rules, procedures, and practices that relate to the position occupied or which govern worksite activities and employee behaviour
  • Sound knowledge of departmental functions, responsibilities, and activities
  • Some knowledge of City operations and departments
  • Ability to communicate clearly and concisely, orally and in writing, including the ability to prepare business correspondence and reports
  • Considerable knowledge of MS Office programs, including Word, Excel, and Outlook
  • Ability to work with the public and providing a high level of exceptional customer service
  • Highly organized and thorough, with an excellent attention to detail
  • Ability to understand and follow oral and written instructions
  • Ability to work under pressure and tight timelines
  • Ability to prioritize and make independent judgment and action
  • Ability to work independently without supervision
  • Ability to handle confidential and sensitive matters
  • Demonstrated analytical skills and the ability to take initiative and be proactive
  • Skills in document management, TRIM/VanDocs experience is preferred
  • Availability to work long days on all voting days
