Main Purpose & Function

Reporting to the Manager, Civic Agencies, the Coordinator, Planning Committees is the primary source of support for the Vancouver City Planning Commission (VCPC), and provides strategic advice, project coordination, and administrative support to assist the VCPC in carrying out its mandate effectively and efficiently. The position coordinates external relations on behalf of the VCPC, including with elected officials, City of Vancouver staff, external organizations, and the community at large. The position also provides administrative support for additional planning Committees, as needed.

 

This auxiliary role will work up to 20 hours per week. The role will allow flexibility for working hours Monday through Friday, as operationally feasible. Schedule may be subject to change due to facility requirements and in accordance with the Collective Agreement.

 

Specific Duties & Responsibilities

  • Organizes all VCPC regular meetings and sub-committee meetings; organizes speakers and presentations; sets agendas; records and distributes motions and minutes;
  • Coordinates VCPC research, projects, and events;
  • Prepares reports, budgets, program materials, and communications;
  • Communicates with elected officials, City staff, and other Civic Agencies; relations with external organizations and the public;
  • Administers VCPC resources, finances, equipment, and suppliers;
  • Maintains VCPC website;
  • Provides administrative support (meeting coordination, agendas, and minutes) for additional planning Committees, as needed.
  • Other duties/responsibilities as assigned

 

 

Qualifications

Education and Experience:

  • Bachelor’s Degree in one of the following, or in a related discipline: Economics, Geography, Political Science, Environmental Design, Public Administration, Architecture, Landscape Architecture;
  • Some experience in fields related to urban planning and development; working with community organizations, the volunteer sector, the post-secondary sector, and/or government bodies; and with event coordination and project management.

 

 Knowledge, Skills and Abilities:

  • Considerable knowledge in fields related to urban planning and development.
  • Considerable knowledge in civic affairs and urban issues.
  • Considerable knowledge of basic research techniques and relevant information sources
  • Considerable knowledge of the capabilities of database and presentation software as related to the extraction, manipulation and presentation of data.
  • Excellent writing and communication skills, including the ability to create agendas, minutes, briefs, reports, and articles for general interest and media.
  • Strong administrative and financial skills.
  • Ability to extract, organize and summarize data and narrative information from a variety of sources.
  • Ability to communicate effectively and build relationships with a wide range of audiences and stakeholders, including City staff, elected officials, and members of the public.
  • Ability to maintain sustained attention to detail.
  • Excellent computer, website, and social media skills.

 

Where operationally appropriate and subject to change, the City of Vancouver has a Flexible Work Program. This program allows staff to work remotely 1 – 4 days a week from locations that are a daily commutable distance from their work at a City worksite.  At this time this position is eligible to be part of the Flexible Work Program.
